This Privacy Policy explains how American Academy of Facial Esthetics collects, uses, discloses, and protects your information when you use the AAFE Integration Platform (the “Platform”). By using the Platform, you agree to the practices described in this Policy.
We collect the following categories of information:
When you create an account, we collect your name, email address, password (hashed), practice name, practice address, city, state, and phone number.
Information about your dental practice, including the names and roles of team members you add to the Platform, their phone numbers (for SMS coaching), and their progress through the integration program.
With your authorization, we access your course enrollment and completion data from the AAFE Learning Management System at community.facialesthetics.org via the WordPress REST API. This includes course IDs, completion status, and enrollment dates.
With your authorization, we receive case count data from InjectChart, including the number of injectable procedures logged per service type. We do not receive or store patient identifiable information from InjectChart.
We automatically collect information about how you interact with the Platform, including pages visited, tasks completed, modules accessed, and timestamps of activity.
When you provide consent to receive SMS messages, we record your consent, the date and time of consent, the phone number provided, and the specific consent language presented at the time of opt-in. This record is maintained for compliance purposes.
We retain records of SMS messages sent to and received from your phone number for compliance, support, and quality assurance purposes.

When you opt in to SMS messaging, we collect and store your mobile phone number, your consent record (including date, time, and the consent language presented), and all SMS messages sent to and received from your number.
We do not sell, rent, or share your mobile phone number or SMS opt-in data with third parties for their marketing purposes. Your phone number is used solely to deliver the SMS coaching and notification services described in these Terms.
We use Twilio, Inc. as our SMS delivery provider. Twilio processes your phone number and message content solely to deliver messages on our behalf and is bound by its own privacy policy and data processing agreements. Twilio does not use your data for its own marketing purposes.
To opt out of SMS messages at any time: Text STOP to any message from us. You will receive one final confirmation and no further messages will be sent.

We retain your account information and usage data for as long as your account is active or as needed to provide you with the Platform services. SMS consent records are retained for a minimum of five (5) years to comply with CTIA guidelines and applicable telecommunications regulations. SMS message logs are retained for two (2) years.
If you request deletion of your account, we will delete or anonymize your personal information within thirty (30) days, except where retention is required by law or for legitimate business purposes such as fraud prevention.
We implement industry-standard security measures to protect your information, including encryption of data in transit (TLS) and at rest, access controls limiting data access to authorized personnel, regular security assessments, and secure credential storage using industry-standard hashing algorithms.

The Platform uses cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze usage patterns. We use only functional and analytics cookies — we do not use advertising or cross-site tracking cookies. You can control cookie settings through your browser, but disabling certain cookies may affect Platform functionality.
The Platform is intended for use by dental professionals and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected information from a child under 18, we will delete that information promptly.
The Platform may contain links to third-party websites, including community.facialesthetics.org, InjectChart, and facialesthetics.org. This Privacy Policy applies only to the AAFE Integration Platform. We encourage you to review the privacy policies of any third-party sites you visit.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Policy on the Platform and, where appropriate, by sending an SMS or email notification. The “Effective Date” at the top of this Policy indicates when the most recent changes were made. Your continued use of the Platform after the effective date of any changes constitutes your acceptance of the revised Policy.
